To-Do > New Message/Task > To…
What do I need to know?
In order to properly alert you when a communication error is received in regards to immunization submission, we created a system-level Distribution List so the notice will be sent the appropriate users.
This Distribution List will be utilized for third party communications so while it will only be used for immunization vendors for now, keep in mind we will continue to add to this in the future.
By default, the list will contain all users marked as system administrators, however other users can manually be added.
How do I use it?
- Go to To-Do > New Message/Task > To…
- Highlight the new Distribution List named "System Error Notifications".
- Click "Edit".
- You will see a list of all the (system administrator) users designated to receive these notifications. Uncheck any one that should not receive these notifications. Check the box next to any one that should receive these notifications.
- Click "Save".
- Click "Cancel" twice to close the Message dialog.

Lab Viewer and Printed Lab Results
What do I need to know?
The “Signed” field for a lab will now display the user’s full name and credentials instead of the User ID information. You will see this change while the lab is displayed on the screen (in the chart) as well as on the printout. It is displaying user information entered through Edit > System Tables > Users.

If there are more than 2 Providers associated with the lab, you will use the arrow to scroll through the list. The Providers will also be displayed on the printout.
How do I use it?
There is no user intervention in order to see this change. All providers will automatically be displayed for lab results imported after you upgrade.

Any dialog checking eligibility (Prescribe Medication / Prescription Benefit / Etc.)
What do I need to know?
Prior to this change, the system only checked eligibility on chart open and then it did not recheck again for 3 days regardless of how many times the chart was opened or the user selected the Prescription Benefit option on the Chart menu. When eligibility was not returned, this caused an issue for ePA users.
Now Clinical will send a new eligibility request upon chart open, automatically, if the old one had different demographic data than is currently showing in the chart.
The 9 fields that it is looking at are:
How do I use it?
No user intervention is needed to see this change. Clinical will automatically send a new eligibility request upon chart open if there has been a change to the above listed demographic data.

Prescribe Medication Dialog (for ePA requests)
What do I need to know?
The system has been updated to utilize the Effective and Expiration dates for completed ePA responses so that a new ePA request for a medication will not be generated or required when a previously completed ePA response is still effective, and has not expired, for that same medication.
Likewise, whenever a non-controlled medication (non-EPCS) that originally required prior authorization, via ePA, and the ePA response has a status of ePA Not Required (CC), then the system will automatically send the electronic prescription for that medication without user-intervention.
How do I use it?
These changes were made to the processing logic and do not require user intervention for them to take place.
*NOTE: Please reference the enhancement for "Medication Eligibility Recheck within 3 Days of Demographic Info Change" as this also is related to the ePA workflow.

Chart > Import > From HIE
What do I need to know?
HIEs are starting to allow the ability for a user to select whether they want to download the Clinical Summaries OR the Transitions of Care, where as previously users were only able to download the Transition of Care.
Now in Clinical you will be prompted with a list of available documents from the HIE when attempting to import, with the option to choose a single document to import at a time. This functionality is currently available with Inspira and HealtheConnections.
NOTE: At this time HIXNY does not allow for this functionality.
If the patient only has one document available, the selection dialog will not be displayed.
After selecting the document and clicking “Finish”, you will receive a pop-up telling you that you will receive a To Do List notification once the import is complete. After you receive that To Do List notification, the document will then be available in the chart.
How do I use it?
[Inspira and HealtheConnections Only]
- Outside of a chart, go to Chart > Import > From HIE, you are prompted to select a patient, HIE and a provider.
- Click “Next”. You will be prompted to confirm the patient.
- Click “Next” again and you will be prompted with the new dialog (IF the HIE participates and IF there is more than one document available for the patient).
- Select the applicable document and click "Finish".

Any login dialog
What do I need to know?
We removed the database dropdown field from the login dialog for offices that only have one database configured. This will save you a click when logging in!
How do I use it?
Upon launch, simply start typing your User ID, then hit "Tab" and type your Password. Then hit "Enter" to complete the login process.
If your office has more than one database, the database dropdown will still be visible and you will need to select the database prior to typing in your User ID.
If no database has been configured (i.e. in a new install situation), there will be a warning that “ChartMaker could not find database connection information” and you will be reminded to call support.

Clinical Facesheet (Right-Click on Referral)
What do I need to know?
We’ve added the ability to mark a Referral as “Response Received” without having to be in a chart note (a.k.a. in the Referral widget).
When you select the option from the Facesheet, it will update the widget and vice versa.
This action is important for quality reporting requirements.
How do I use it?
- Right-click on a Referral from the Clinical Facesheet.
- Select the option for "Response Received".
Clicking this option will display a checkmark next to it as well as document that you received a response to this Referral.

Appointment Details
What do I need to know?
We added a new Confirmation Status of “Confirmed (Verbal)”. This status should be used in situations where the patient calls into your office (or is physically in your office) and confirms their next appointment with you verbally instead of using the automated prompt through the phone/text reminder system.
Using this new status in this situation will eliminate the Reminder Module from calling/texting the patient about the appointment again.
How do I use it?
- Open the Appointment Details dialog (selecting the "Details" option from the right-click menu from the calendar view or anywhere else it is available).
- Select the dropdown for "Confirmed".
- Chose the "Confirmed (Verbal)" option.
- Click "Save".
