Automatically Separates and Renames Each ERA File

Overview
When your office selects the UPDATE button located in Practice Manager’s Insurance Billing screen, as of August 5, 2014 the updated Response Viewer program will be installed.

It is important to select the UPDATE button for all workstations that print or send electronic insurance billing claims AND/OR works on the Remittance Tab.The updated Response Viewer program will now rename the ERA file. The default is set to OFF – you will need to turn this option ON. This setting is by workstation.

Here’s How the New Response Viewer Works
You access Response Viewer in the same manner – this has not changed.

If the ERA file contains only one file (check), the file will be renamed and be displayed in Response Viewer.

If the ERA file contains multiple files (checks), the file goes quickly through the automatic rename process. When you click on the yellow folder again, you will see the ERA files have been separated and renamed.

The new name will include the insurance payer id, practice or provider’s name, the check date and the check number.

A sample of a renamed ERA file – the # represents the check number and @@ represents the file has been separated:

PayerID-PracticeName-ccyymmdd-##########_@@

Also a new folder will be created under the Communication folder labeled ‘Original EOBs’ that will store the original era files for future use if needed. This actually provides a backup of each ERA file that is downloaded if you elect to use this renaming feature.

Do I need to change anything in Practice Manager?
If your office uses the Remittance tab to automatically post the ERA files, you will need to change the filter on your Remittance Import screen.

For Medicare, Medicaid and Blue Cross insurances, go to the Remittance tab, adjust the Filter tab by adding the payer ID and then press Save the Settings. Example: Highmark Blue Shield’s filter – 54771*.* For Emdeon (NEIC), the filter will need to be *.* to display all commercial insurances.

Medicare Remittance Easy Print (MREP or Easy Print) Application
For offices using CMS’ Medicare Remittance Easy Print (MREP), the files will import. No adjustment required.

How Does New Feature Benefit My Office?
When an office has multiple databases or multiple practices within a single database sharing the same Submitter ID Number, the insurance company may return one physical ERA file with information that needs to be imported into multiple databases or practices. This requires you to copy each file to allow posting into the multiple databases or practices. Now each check that needs to be imported into multiple databases will be separated for easy processing. Each file name will be identified with a payer id, practice or provider name, the check date and the check number. You can select what to import.

Can I turn the Renaming option on and off?
Follow the steps below to adjust the renaming option setting.

•   Once Response Viewer is open, click the Help Button.

•   Click on ‘Parse Checks from EOB files’.

•   Select ‘Yes’ to separate and rename your ERA files.

•   Select ‘No’ if you do not want to separate and rename your ERA files. Note – default setting

If you don’t have multiple databases, you may not want to deal with extra files to import. The advantage of renaming the files is that you will know who the ERA files belong to, the payer, check date and the check number without opening the file.
